Job Description Job Description Westlake Master Association is currently recruiting for an Events Coordinator for a community in Jackson, New Jersey. DESCRIPTION: Organize and schedule all recreational programs for the community. Assist in the training of the concierge staff in recreational programs. Support and assist the Clubhouse Director QUALIFICATIONS: Must have a minimum of two (2) years’ experience in events or party planning. HOURS: Tuesday – Saturday from 11am – 7pm. Salaried position with a minimum of 40 hours per week. Schedule to be flexible to cover programs and events, including weekends and holidays. REPORTS TO: Clubhouse Director RESPONSIBILITIES: 1. Plan, implement and direct all recreational and/or social programs and activities. Assist in enforcing all rules and regulations pertaining to the Clubhouse. 2. Arrange for exercise and special instructors for Club classes. Schedule and monitor all classes to ensure quality and resident enjoyment. This should include verifying appropriate certifications and insurance coverages. 3. Assist the Clubhouse Director with the supervising, training, and evaluations for the concierge staff. 4. Coordinate caterers, entertainment, staffing, games, prizes and/or whatever is necessary for events to maintain entertainment within established budget constraints. This should include verifying appropriate certifications and insurance coverages. 5. Assist in preparing annual recreation, concierge personnel and office supply draft budgets prior to August 1st of each year. 6. Prepare and maintain incident reports for any incident/accident on recreational property. These need to be submitted to the Management Office immediately. The Management Office will forward appropriate information to the insurance company. 7. Assist in the maintenance of the Master Activities and Room Usage Calendar. This will include the scheduled room usage for Clubs. 8. Provide monthly Clubhouse-Recreation Activity calendar information for the Journal no later than the 1st of each month. This should include activities calendar, clubhouse notes, program schedules, etc. 9. Maintain and assist with Bingo preparation. 10. Update and maintain the schedule of Clubhouse events and room rentals including parties for individual residents. Supply the Management Office with copies of all rental agreements including insurance information and checks. 11. Cooperate fully with the Management Office and the Board of Trustees in establishing an overall safe, clean and congenial atmosphere within the Clubhouse. 12. Assist the Clubhouse Director with preparation of the financial information for activities and recreational operations that are submitted to the Management Office and Board of Trustees for monthly review. 13. Provide support and assistance to the Clubhouse Director as requested. 14. Any and all other duties as may be directed by the Board of Trustees through the Management Office
