1 month ago Be among the first 25 applicants This is a Section Head role, and the incumbent is expected to be responsible for the following: Office Administration Facility Management Strategic planning for transformation of office facilities Responsible for office capacity planning and space allocation (e.g., meeting rooms, work desks, cafeteria, and office equipment) by understanding users’ needs and translating them into a good working environment Work with department heads to accurately plan and estimate office seating requirements and manage hot-desking guidelines and usage Ensure compliance with the Bank’s policies and relevant local regulations Ensure office design and facilities align with green initiatives (e.g., eco certificates, green supplier contracts) Prioritize user experience and aesthetics in managing office infrastructure and usage Provide stationary, taxi cards, phones, and other equipment services to staff, along with other office administration tasks Health and Safety Implement and manage safety, health, and environmental processes, including LPS, security systems (if appropriate), business controls, budget and planning, asset management, tenant services, interfaces with site Business Units and regulatory agencies, and site-specific requirements Oversee vendor management (e.g., cleaning companies, support staff), setting service standards and ensuring compliance Manage vendor and third-party risks Establish procurement management frameworks and policies Leases and Contract Management Monitor budgets and costs for operations and projects Coordinate Business Continuity Planning (BCP) activities related to workplace safety, fire warden duties, and safe management in collaboration with the Operational Risk Management Section Oversee travel management, including maintaining preferred hotel and airline lists for corporate bookings and supporting overseas visitor arrangements Project Management of Office Renovation Lead and ensure smooth execution of office renovation projects Supervise and guide the office renovation project manager if applicable Others Strategic planning and execution of cost control initiatives Review corporate staff benefits, such as business travel discounts (e.g., food establishments around the office) Manage events and provide technical support for office facilities usage Manage senior executive secretaries Establish internal rules and procedures based on HO policies and specific bank needs Oversee SWIFT operations team and RMA key exchange for the APAC region Handle SWIFT messages during BCP situations and adapt to ISO20022 standards Job Requirements: Bachelor's degree in business or related field 12 to 15 years of experience in administration and operations management within the banking or financial industry Proactive, solution-oriented mindset with a desire to transform Excellent communication and interpersonal skills Ability to work under pressure and meet tight deadlines Seniority level Mid-Senior level Employment type Full-time Job function Administrative J-18808-Ljbffr
