Administration Assistant About the role… We currently have an opportunity in our Trades Parts Xpress department and are looking for candidates that are wanting to join the Stoneacre Family. Provide a point of initial contact and administration support to the accounts as well as the branch Responsible for ensuring that all administration is completed in a timely and accurate manner for the accounts, in line with business and customer requirements and SLA's to ensure customer experience is enhanced and maintained. Responsible for dealing with general customer enquiries in an efficient and timely manner face to face, via telephone and email, ensuring a satisfactory outcome is reached or escalating where necessary. Produce detailed reporting using manufacturer based system and communicate findings to the senior management Carry out data cleansing task to ensure our customer CRM database is accurate and effective Working with colleagues to carry out detailed accurate reviews on our increasing site based to ensure best practice is adhered and produce accurate reporting for the senior management team/directors which allows improve customer satisfaction Importing information and producing Excel spreadsheets for analysis. Distribute reports to Branch Managers, Regional Managers and Directors. Responsible for the 'Motability' contract, downloading / collating and importing statistics. Training provided to audit branch procedures and processes to improve customer satisfaction. About you… You will have experience of working within rigid regulations and procedures You will have excellent customer service skills. Have strong administration skills You will have the ability to communicate clearly and concisely, both orally and in writing, with customers, colleagues and suppliers of all levels. An active listener – You listen to others views and requests. Obtain information and check level of understanding through effective questioning techniques. You are able to interact with customers in a professional manner; identify and understand customer requirements, and how these can be met through the products and services that Stoneacre offer. You will be able to translate this into actions to deliver high levels of customer satisfaction. Fantastic analytical ability - Gather and record verbal and numerical data in a comprehensive and effective manner. Analyse information for completeness and accuracy. Identify key data, omissions, and issues, escalating where necessary. Effective control – Approach tasks and interactions with others in a systematic and structured manner. Support the implementation and maintenance of proper controls and processes within the department or function. Use systems efficiently and in accordance with policy. Take appropriate action where there have been lapses in processes and escalates where necessary. Relationship building – You will develop productive and cooperative relationships with customers and colleagues, using rapport building techniques, empathy and effective interpersonal skills. Approach sensitive situations with consideration for others and work to achieve constructive outcomes. Great technical ability – Demonstrate and maintain an appropriate level of technical expertise You will be aligned to the Stoneacre brand values and demonstrates these in your behaviours and approach to people and tasks.
