Job Description Job Description POSITION: Safety & Disaster Planning Specialist SUPERVISOR: Sr. Director, HR & IDEA STATUS: Salary/Exempt PAY RANGE: $69,000.00 - $78,000.00 Annually The base pay offered will consider internal equity and may vary based on the candidate’s job-related knowledge, skills, experience, and other factors. ESSENTIAL FUNCTIONS The Safety & Disaster Planning Specialist is responsible for supporting the Food Bank’s internal safety structure in collaboration with Operations, Compliance, and Human Resources as well as developing and maintaining disaster, threat, and hazard plans; coordinating and developing identified training and exercise needs to support planning initiatives and operational activities; collaborating with internal and external stakeholders; representing Los Angeles Regional Food Bank on a variety of workgroups; and monitoring and documenting compliance with local, state, and federal statutes. WHAT YOU’LL DO Safety & Emergency Program Development & Oversight: Collaborate with leadership to strategize and develop organization-wide safety and disaster planning programs. Maintain and implement organization-wide safety and emergency response policies, including the Injury and Illness Prevention Program, Emergency Action Plan, and Disaster Response Plan. Update and coordinate the Food Bank’s emergency operations and hazard mitigation plans, including developing the Emergency Operations Center framework. Reviews, develops, and updates safety and preparedness outreach material as requested. Assist in the planning and execution of special projects and events. Additional duties as assigned. Training, Exercises & Safety Readiness: Collaborate with management and department heads to establish and maintain comprehensive safety and disaster training programs for all employees, including Bloodborne Pathogens, General Safety Inspections, Fire Protection and Communication, Evacuation, etc. Partner with departments to ensure the timely completion of mandatory training. As a member of the Safety Committee, communicate the Food Bank's safety vision and values to team members, ensuring understanding, compliance, and acceptance of safety programs and policies. Collaborate with various departments to ensure comprehensive and cohesive worksite safety models are developed and implemented, for example, during large-scale volunteer and product distribution events. Ensure that safety and emergency/disaster training and documentation, such as job hazard analysis, mock Cal-OSHA audits, policy preparation, etc., meet organizational and regulatory requirements. Performs administrative-related functions related to training, drills, and preparedness initiatives Incident Response, Monitoring & Community Resilience: Implement and maintain an effective incident investigation process, identifying root causes and formulating corrective actions to mitigate exposure. Drive continuous safety improvements by auditing work areas, including food distribution sites and mobile sites, reviewing incident reports, and recommending enhancements. Conduct unannounced worksite safety inspections across all distribution sites and facilities. Collect, analyze, and interpret data related to safety and emergency management (e.g., claims reports) to identify areas for improvement. Coordinate preparedness and incident activations and design, execute, and evaluate tabletop, functional, and full-scale exercises in collaboration with agencies such as law enforcement, medical services, BICEPP, ENLA, CalOES, etc. Manage the delivery of disaster planning efforts across all phases of emergency management. Promote community disaster resiliency through preparedness mitigation training, response, and recovery operations exercises. This position may require working longer than 8 hours per day and longer than a 5-day work week during emergencies. QUALIFICATIONS A Bachelor’s degree from an accredited college or university with major coursework in occupational safety, industrial safety technologies, emergency management, public or business administration, or a related field; or a combination of education and experience. Good working knowledge of OSHA CFRs and federal, state, and local regulatory standards applicable to general industry. Polished presentation skills in making verbal and written presentations and communicating effectively with others. Proficiency in Microsoft Office and Google Suite. Must possess expert-level skills with MS Word. At a minimum, must have knowledge and experience with the following: Advanced formatting: Create/revise templates and use styles Insert files: Insert files from other applications (e.g. graphics/pictures/ maps from MS PowerPoint/Adobe/Photoshop, and tables/charts from MS Excel). Table of contents: Provide a visual guide for readers by including page numbers and links to headings. Must be proficient at re-pagination and other related tasks. Excellent communication and interpersonal relationship skills. Good problem-solving and project management skills to track initiatives Comfortable taking the lead with training initiatives, virtual meetings, and collaborative projects The ability to shift gears quickly and work in a fast-paced environment Organizational and project planning skills, including attention to detail, follow-through, and flexibility. Must be efficient and have a sense of urgency. Must be organized and meet deadlines, preferably with some experience in Project Management tracking tools. Possess a valid California Driver’s License and a reliable, insured vehicle. Must be able to travel throughout Los Angeles County as required. Work assignments may include various facilities and hubs across Los Angeles County, including locations in Los Angeles, Long Beach, and the City of Industry, CA. Flexibility to commute between Food Bank facilities as needed is essential.
