Job Description Job Description Who We're Looking For We’re seeking a detail-obsessed, highly organized Project Coordinator who can keep our operations tight and running smooth behind the scenes. You’ll support Project Managers from preconstruction through closeout—tracking schedules, managing documentation, and keeping subs and vendors aligned. You’re not afraid of spreadsheets, deadlines, or chasing down missing paperwork. If you thrive in organized chaos and love creating structure out of moving pieces, this is your lane. Key Responsibilities: Assist the Director of Construction and Project Managers with daily coordination and administrative tasks across all active projects. Maintain up-to-date documentation in Procore , including RFIs, submittals, change orders, and meeting notes. Track schedule updates and procurement timelines in collaboration with PMs and Superintendents. Coordinate sub compliance items (COIs, contracts, lien waivers) and ensure nothing slips through. Prepare and distribute agendas and notes for weekly OAC and internal meetings. Help manage owner billing logs, project checklists, and status reports. Flag administrative gaps, delays, or risk areas for the Project Manager’s attention. Support material tracking, delivery coordination, and vendor follow-ups. Assist with project closeout binders, warranty submissions, and documentation reviews. Qualifications: 1–3 years of construction admin or project coordination experience (commercial, hospitality, or ground-up preferred). Proficient in Procore , Microsoft Excel , and document control workflows. Sharp attention to detail—especially around forms, dates, specs, and version control. Able to manage multiple projects at once without letting details drop. Clear communicator, both written and verbal—must be confident following up and holding vendors accountable. This is a full-time, in-office role based in Sanford, FL. Candidate must be within commuting distance and available to work on-site daily. Comfortable visiting project sites on occasion to support field operations and logistics. Preferred but not required Qualifications: Experience supporting hotel renovations, franchise rollouts, or fast-track commercial jobs. Familiarity with construction schedules (MS Project experience a plus). Ability to build relationships with subs, vendors, and field staff. Interest in growing into a Project Manager role long-term.
