Personal Assistant to the CEO at World Health Labs Position Overview : World Health Labs is seeking a highly dedicated and resourceful Personal Assistant to support our CEO. This role requires a proactive, adaptable, and highly organized individual who can manage multiple responsibilities, ensuring the CEO's personal and professional life runs seamlessly. The ideal candidate will be on call 24/7 with the CEO as their top priority. Responsibilities include wellness support (cooking, meal prepping, and bike maintenance), transportation needs, schedule management, household upkeep, digital tasks, vendor management, and guest hospitality. This position follows a structured schedule with flexibility required beyond set hours when needed. Key Responsibilities : Wellness & Lifestyle Management Meal Preparation & Nutrition: Prepare nutritious, high-quality meals aligned with the CEO's dietary needs. Saturday meal prep is required to ensure meals are available throughout the week. Maintain a clean, organized kitchen with stocked ingredients and supplies. Bike Maintenance & Gear Prep: Support daily bike rides by cleaning and maintaining the bicycle, ensuring it is in top condition. Keep cycling gear (helmets, shoes, hydration, etc.) clean and ready for use. Personal & Transportation Support Provide personal transportation for errands, appointments, and small weekend trips. Handle grocery and personal shopping, ensuring purchases meet preferences and needs. Track and receive deliveries and online purchases, ensuring timely arrival. Run miscellaneous personal errands proactively. Guest Management & Hospitality Prepare the home for guest visits, maintaining a clean, welcoming, and organized environment. Greet and assist guests, offering refreshments and ensuring comfort. Coordinate accommodations or itineraries for out-of-town guests when needed. Handle special requests or hospitality needs professionally and discreetly. Schedule & Logistics Coordination Calendar Management : Collaborate with logistics teams and executives to keep the calendar accurate and up-to-date. Schedule and confirm appointments, personal engagements, and business meetings. Proactively resolve scheduling conflicts to maintain a smooth routine. Household Maintenance & Vendor Management Perform regular household cleaning and upkeep. Handle minor maintenance or coordinate with landlords, repair services, and vendors. Ensure household supplies are stocked and organized. Supervise home maintenance, cleaning services, or special projects, tracking progress and completion. Manage online tasks including email follow-ups, research, and digital organization. Handle administrative errands such as filing, reimbursements, or travel bookings. Ideal Candidate Profile : Highly organized, detail-oriented, and able to multitask in a fast-paced environment. Bilingual in Italian and English. Discreet, trustworthy, and capable of handling sensitive information professionally. Strong communication and problem-solving skills. Experience in meal prep, bike maintenance, guest management, and schedule coordination is preferred. Ability to anticipate needs and work proactively without constant supervision. Valid driver’s license and reliable transportation are required. Work Schedule : Tuesday to Friday : 8:00 AM – 3:00 PM (subject to extension if needed) Saturday : 7:00 AM – 2:00 PM (prep for the week) Sunday & Monday : Off (unless otherwise requested) While the set schedule ensures structured working hours, the candidate must be available on call 24/7 for urgent needs.
