Job Description

Reporting To: Director Events Job Summary: The Assistant Event Manager is responsible for supporting the planning, coordination, and execution of all events at the resort. This role ensures seamless delivery of events while maintaining high service standards, working closely with clients, vendors, and internal departments to ensure successful and memorable experiences for all guests. Key Responsibilities: 1. Event Planning & Coordination: Assist in the planning and coordination of social, corporate, and wedding events at the resort. Participate in client meetings to understand event requirements, timelines, and budgets. Prepare detailed event proposals, layouts, and itineraries. Coordinate with internal teams (F&B, Housekeeping, Engineering, Security, etc.) for smooth execution. 2. Client Relations & Communication: Serve as the point of contact for clients throughout the planning and event phases. Maintain timely and professional communication with clients to confirm event details and updates. Handle client feedback and resolve any issues promptly and diplomatically. Ensure high levels of guest satisfaction and repeat business. 3. Operational Support: Supervise event setup, execution, and breakdown to ensure alignment with client expectations. Ensure that AV equipment, décor, seating arrangements, and logistics are ready and functional. Monitor event flow and troubleshoot in real time to ensure smooth operations. Ensure the team adheres to safety protocols, cleanliness, and service standards. 4. Team Management & Training: Coordinate with the Events team and casual staff to delegate tasks and responsibilities. Provide on-site supervision and guidance during events. Support training programs for new staff and refreshers for existing team members. 5. Vendor & Budget Management: Liaise with third-party vendors for décor, entertainment, AV, photography, etc. Assist in managing event budgets, billing, and post-event financial reconciliation. Track event expenses and identify opportunities for cost savings. 6. Documentation & Reporting: Maintain proper records of events, including client preferences, layouts, feedback, and post-event reports. Provide feedback and suggestions for improving event services and SOPs. Update internal systems with event data and client histories for future reference.
