Job Description

Our client is seeking a Facilities Coordinator to join their team in Ottawa, Ontario, on a long-term contract basis. This role involves ensuring the smooth operation of office facilities, managing access control, and supporting day-to-day workplace needs. The ideal candidate will bring a proactive approach to maintaining a productive and welcoming environment for both staff and visitors.Responsibilities:- Oversee front desk operations, including greeting visitors and ensuring an organized and detail-oriented reception area.- Manage office badge systems by activating, deactivating, and addressing access issues.- Coordinate service requests for facility repairs, such as plumbing issues, and follow up to ensure timely resolution.- Arrange and oversee meal and snack orders, ensuring availability for meetings and daily office needs.- Prepare and maintain coffee stations, ensuring supplies are stocked and areas are clean.- Assist with organizing self-serve lunch setups and ensuring cleanliness after events or meetings.- Handle waste management tasks, including disposing of e-waste and emptying trash bins as needed.- Support meeting preparations, including setting up conference rooms and ensuring all required materials are in place.- Utilize spreadsheets and data management tools to track facility-related activities and budgets.- Provide exceptional customer service to employees and visitors, addressing inquiries and resolving issues promptly.Qualifications:- Minimum of 2 years of experience in facilities management or a related role.- Proficiency in using Computerized Maintenance Management Systems (CMMS) and other office software.- Familiarity with tools such as Concur, IBM AS/400, Kronos Timekeeping System, and About Time.- Strong organizational and multitasking skills to manage various responsibilities effectively.- Excellent communication skills, both written and verbal, to interact with team members and external vendors.- Ability to handle basic budgeting processes and track facility expenditures.- Experience in setting up and maintaining conference rooms for meetings and events.- A proactive and customer-focused approach to problem-solving and workplace management.If this role interests you, please do not wait! please apply online today or call us at 613-236-4253!Job Reference Number: 0013248119Robert Half is the world's first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
