Job Description Job Description ob Summary Join a dynamic academic environment by supporting the Chairs and faculty of three interdisciplinary departments—Feminist and Gender Studies, Asian Studies, and Race, Ethnicity, and Migration Studies. Based in the collaborative and intellectually rich Interdisciplinary House (ID House), this role plays a key part in advancing the departments’ teaching, research, and administrative responsibilities. Responsibilities Finances: Manage, monitor and organize the departmental budget including the operating budget and endowed/gift funds. Prepare and execute Concur reimbursements, honoraria, Adobe Sign journal entries, requisitions and purchase orders, Summit for student prizes. Manage faculty and student research/travel funding and reconcile P-cards for faculty and staff monthly. Reimburse faculty for business expense (e.g., travel, meals). Support off-campus courses financial records and budget reconciliation. Administer grants and other program funding, including communication, gathering applications, record keeping, and disbursement for student and faculty members. Assist faculty with research accounts and record keeping as needed. General Academic Support: Maintain course grids and other course information in the digital and print catalogs. Schedule classrooms for faculty in all three programs. Support faculty during teaching blocks, which includes copying, scanning, ordering instructional supplies, and acquiring media. Manage cross-list requests from faculty in other departments and programs. Maintain records for majors and minors, including progress, GPAs, petitions, and waivers. Supervise student workers and maintain their schedules. Maintain program websites, social media pages, and other program communiques, such as handbooks and newsletters, and regularly update department websites, listserv, and Stellic to clarify information about majors/minors. Create and publish marketing materials for events and other programming. Support programming, including arranging catering and venue reservations, disseminating invitations, and maintaining RSVP lists. Chair and Faculty Collaboration: Collaborate with Department Chairs in management of forms for personnel planning, year and block visitors, graduation requirement checks, course schedule, catalog of courses, classroom assignments, faculty reviews (third year, tenure, promotion, and senior lecturer), faculty searches, student funding, department meetings and external reviews; collaborate with faculty in all aspects for class field trips and off-campus teaching; collaborate with department Chairs to prepare agendas for faculty meetings; take and maintain minutes. Maintain print and digital filing systems and office supplies inventory. Events and Logistics: Organize logistics for and execute departmental events, including endowed lectures, graduation events, and events for distinguished class and campus guests; coordinate room reservations, facilities setup, refreshments/catering, audiovisual equipment reservations and troubleshooting; transportation, hotel room and restaurant reservations, event promotion, poster and email campaign design and distribution on campus and to the broader community; campus digest postings and food/catering for department and student meetings. Maintain ID House schedule for courses and other activities. Affiliations Beyond the Department: Collaborate with the Registrar, Human Resources, Student Employment, Dean’s Office, Communications, Events, Field Studies, Finance Offices, Facilities, and Campus Safety with processes. Serve as liaison between visitors, students, parents, faculty, and community. Collaborate with facilities and other appropriate departments, programs, and offices for building maintenance. Coordinate requests for ID House use outside of classroom time for student organizations and meetings. Minimum Qualifications High school plus specialized training and a minimum of 3 years of related experience; advanced level with computer software programs, such as Microsoft Office Suite (Word, Excel, Outlook, and Office 365); ability to operate standard office equipment; ability to learn new software and technology and adapt to new processes; excellent oral and written communication skills; ability to communicate effectively and develop positive relationships with people from different cultural backgrounds; proficient in spelling, punctuation, grammar and basic business math; excellent organizational and customer service skills; ability to think critically and solve problems; good judgment and ability to handle confidential/sensitive information with discretion; ability to handle multiple demands and workload. Preferred Qualifications Some college credits or experience in higher education; familiarity with social media; knowledge and experience supporting/participating in programs for anti-racism and social justice.
