We are looking for a dynamic, outgoing individual who can work under their own initiative to provide administrative support to all departments within the Clevedon office. Managing office consumables, postage, couriers and dealing with third party contractors as directed by the Directors. Competence & Qualifications: Computer literate with a strong competence in, and knowledge of, Microsoft Office packages. Excellent organisation skills and the ability to communicate with people at all levels (internal & external) are essential. Confident, polite and professional in conducting meet and greet duties, and customer support enquiries, including answering incoming calls etc. Previous administrative experience is essential. Skills & Attributes: A proven track record of working in an office environment and relevant experience to the role. To be reliable, friendly and approachable. Good written, verbal and presenting, organisation, communication and team interpersonal skills Able to work under pressure, forward plan, use initiative, manage time and prioritise effectively. Attention to detail. Ability work in a discrete, polite and confidential manner. Flexible and able to carry out other duties outside the detailed job description when required. Key Duties: Undertaking the traditional administration duties, including but not limited to; receiving visitors, telephone management, diary management, filing, stationery stock (including photocopier, printer and franking machine), office refreshments, equipment maintenance, administration of group functions/ meetings, office catering. Managing/booking travel arrangements for staff, (including taxi, hotel and flights etc) as required. Managing the availability (and maintenance) of any company pool vehicles. Providing administrative support to all departments as required, including electronic storage facility for agreements, patents, trademarks and intellectual property, liaising with appropriate personnel. Issuing keys, and visitor passes. Maintaining office keys list. Requesting feedback from survey forms Maintaining the Product Document Library, and wider database administration Arranging hire vehicles when required Dealing appropriately with deliveries to the office in accordance with the appropriate procedure. Raising Purchase Orders Arranging adequate cover and handover instructions for own role during holiday absences. Approving, on the companys finance system, invoices pertaining to expenditure for areas of responsibility. Performing duties in accordance with all relevant legislation in particular the Health and Safety at Work Act and apply the requirements of ISO45001. Applying the requirements of BS EN ISO 9001 and 14001 as appropriate within the areas of responsibility Other duties which the company may reasonably require the individual to undertake.
