BRIEF ROLE DESCRIPTION The Reservations Executive manages all phases of the booking process, from receiving inquiries to accurately entering data and processing payments. This role actively contributes to guest satisfaction and the hotel's commercial success, ensuring every reservation is processed in line with company standards. HIERARCHICAL REPORTING Reports to: Group Reservation Manager KEY DUTIES AND RESPONSIBILITIES Complete Reservation Management: Respond to and process all reservation inquiries (phone, email, web) within 24 hours, ensuring accuracy of data, payments, and terms. Data and System Maintenance: Update guest profiles on the CRM, manage allotments, groups, and rates, and keep availability and prices updated across all channels (PMS/CRS, OTAs, GDS). Commercial and Operational Support: Collaborate on upselling campaigns, follow up on pending reservations, and coordinate with Front Office and F&B for special requests or groups. Compliance and Monitoring: Ensure adherence to GDPR regulations and report any anomalies or discrepancies to management. Continuous Development: Actively participate in briefings and training sessions to stay updated on products and procedures. REQUIREMENTS Diploma or degree, preferably in tourism or hospitality. Minimum of 2 years of experience in hotel reservations, including experience in international chains or boutique hotels. Basic knowledge of PMS/CRS and Channel Manager. Excellent communication skills in Italian and English; knowledge of additional languages is a plus. Precision, attention to detail, and a problem-solving attitude. Ability to work under pressure and manage multiple requests simultaneously. COMPETENCIES Customer Care: Empathy, active listening, and clear communication. WHAT WE OFFER Start date in Autumn 2025 with an initial 12-month fixed-term contract, with the intention of conversion to a permanent contract based on performance – National Collective Bargaining Agreement (CCNL) for the Tourism Sector. 40 hours per week over 5 days with two days off. Internal training on operational procedures and introduction to the Relais & Châteaux circuit. Growth opportunities within an expanding hotel group. Company canteen for meals during shift.
