Job Description Job Description Front Office Coordinator / Administrative Assistant – Orthodontic Practice Location: State College, PA Job Type: Full-Time | Monday–Friday | No Evenings or Weekends Join Our Orthodontic Team! We are a friendly, patient-centered private orthodontic practice seeking a Front Office Coordinator / Administrative Assistant to be the welcoming face of our office. What You’ll Do Welcome patients and families with a warm, professional demeanor Answer and direct phone calls, respond to inquiries, and manage the appointment schedule Process patient check-ins and check-outs, update records, and collect payments Verify insurance benefits and assist with billing questions Maintain an organized reception area and front office Coordinate communication between patients, clinical staff, and the orthodontist Assist with administrative tasks such as filing, scanning, and data entry Support patient engagement efforts, including events and social media updates Protect patient privacy by following HIPAA compliance standards What We’re Looking For Required: High school diploma or equivalent 1–2 years of customer service, front desk, or administrative experience (healthcare or dental/orthodontic preferred) Proficiency with Microsoft Office and ability to learn new software quickly Excellent communication, organizational, and multitasking skills Preferred: Experience with dental or orthodontic practice management software Knowledge of insurance verification and payment processing Willingness to cross-train for other roles within the office Who You Are Friendly, approachable, and team-oriented Professional in appearance and conduct Detail-focused with strong problem-solving skills Able to adapt quickly in a busy environment Perks & Benefits Competitive pay based on experience Paid time off and holidays Employee orthodontic benefits Supportive, collaborative team culture Opportunities for ongoing training and growth How to Apply: Apply directly through ZipRecruiter with your resume and a brief cover letter telling us why you’d be a great fit.
