Our dynamic and friendly London-based operations team works closely with our US offices to deliver high-quality, culturally rich tour programmes to a discerning clientele. We are seeking a detail-oriented and experienced Supplier Contracts and Procurement Coordinator to oversee the sourcing, negotiating and contract management of our European tour group operations. You will work closely with hotels, Europe-based vendors and internal teams in our London-based office to support seamless operations, high service standards, and cost-effective delivery of group tours. This role involves sourcing vendors, conducting hotel inspections, evaluating supplier quality, and negotiating contracts to support our expanding portfolio of luxury group tours. Youll play a key part in supplier relationship management and maintaining high standard of tour quality. The position will include travel throughout Europe and offers the opportunity to participate in familiarisation (FAM) and inspection trips. Key Responsibilities ? Supplier Sourcing and Negotiation : Identify, evaluate, and select suitable suppliers (e.g., hotels, motorcoach/transportation companies, restaurants, sightseeing venues). Negotiate favorable contract terms, including pricing, payment terms, cancellation policies, and service level agreements. Lead supplier negotiations to secure the best possible rates and terms, balancing quality with cost efficiency. ? Contract Management: Ensure contracts are legally sound, aligned with company policies, and effectively mitigate risks. ? Supplier Relationship Management: Build and maintain strong, long-term relationships with key suppliers. Monitor supplier performance against contractual obligations and address any issues or concerns proactively. ? Improve Tour Quality: Liaise with our US and UK-based operations team, tour managers, coach providers, hotels, and restaurants after tours to ensure all operational needs are met and our high quality standards are maintained. Review customer feedback and address supplier issues. ? Research New Suppliers : Continually research new vendors, including hotels, restaurants, and local service providers as needed to enhance product offerings. ? Conduct European hotel and vendor site inspections to assess quality, location, amenities, and service standards. ? Handle emergency calls or urgent client or operational needs during weekdays and occasional weekends, ensuring 24/7 operational support when necessary. Skills & Experience Minimum 2 years of experience in procurement, contract management, supplier relationship management, preferable within the travel or hospitality sector. Excellent communication, negotiation, and relationship management skills. Outstanding organisational skills and ability to handle multiple deadlines under pressure. Proficiency in Google Suite, knowledge of booking platforms and Amadeus is a plus. A second language (Mandarin, Italian, or Spanish) is advantageous, but not essential. Ability and willingness to travel for hotel and vendor inspections, as well as FAM trips. Travel may occur during weekdays and weekends. Request legal right to work in the UK
