Position Overview We seek an exceptional Project Manager with a proven track record, who shares our vision of healing and innovation. This leadership role offers the opportunity to facilitate various projects on behalf of Velocity BioGroup while directly contributing to life-changing treatments that serve vulnerable populations and address critical unmet medical needs. A key focus will be supporting the day-to-day function of the CEO on various strategic efforts, including strategy development and execution. After coordinating with the CEO on priorities and strategies, you will support VBG leadership and manage various project initiatives across the organization. You will manage one other person if needed to fulfill all of these responsibilities below. Key Responsibilities Strategic Management Facilitate and manage multiple projects on behalf of Velocity BioGroup, ensuring alignment with company vision and strategic objectives Support the CEO's daily function on various efforts, including support in strategy development, implementation planning, and executive administrative functions Coordinate with the CEO on her priorities and strategies, then translate these into actionable project plans and deliverables on a reliable timeline Support VBG leadership and various strategic initiatives Develop comprehensive project charters, timelines, and resource allocation plans that support our mission Monitor project progress and provide regular status updates to leadership team, ensuring transparency and accountability Project Coordination and Execution Coordinate and manage the tactical components of the CEO's vision and daily productivity, including calendaring, trip planning, staff meetings and retreats and key research requests - some yourself and some through the office assistant Oversee multiple concurrent projects across all departments, ensuring seamless coordination between company divisions and external stakeholders Establish and maintain project management policies, procedures, and systems that support regulatory compliance in pharmaceutical and nutraceutical industries Manage project risks, issues, and dependencies while maintaining clear communication channels with all stakeholders Facilitate project meetings, workshops, and strategic planning sessions to drive project outcomes Process Optimization & Quality Management Design and continuously improve project management workflows to maximize efficiency while maintaining the highest quality standards, using AI tools and cutting-edge software Develop key performance indicators and metrics to monitor project success and organizational performance Implement project management best practices and methodologies across the organization Create and maintain project documentation, including lessons learned and process improvements Velocity BioGroup COO has extensive experience in this area of expertise to support/advise you in these efforts Existing SOPs provide framework from which to form your basis of reference for how and why we do the things we do. Improved methods are always welcome yet current methods must be understood since they have their histories and reasons to be as they are. Financial Operations Monitor operational expenses and identify opportunities for cost savings Support grant applications and funding initiatives Our current Director of accounting has been in small business contexts ( non-profit and for-profit with 50 employees they have supported, typically) and can provide support/advice for your efforts Required Qualifications Non-negotiable office job in Sedona, AZ with 3-4 office days per week, depending on company requirements · Ability to travel several times a year for several days for key meetings · Willingness to roll up your sleeves, work hard and love your accomplishments · Must demonstrate emotional intelligence in the work environment with professionalism regarding politics and religion as much of our work entails the government Education & Experience Bachelor's degree in Business Administration, Operations Management, Life Sciences, or related field preferred Will forego college education if project management background is extensive Minimum 5 years of progressive project management experience in the healthcare industry, preferably in start-up or growth stage companies.
