Your mission:Should you decide to accept it This role keeps the heartbeat of our home office strong by providing primary support to the Chief Operating Officer and light support to the Chief Executive Officer. You’ll be the go-to for keeping communication polished, professional, and authentically Virgin by connecting our leaders, teammates, guests, and partners with ease and positivity. The Nitty-Gritty:What exactly you will be doing In helping you understand your role in working for a world class organization, the following is a list of your essential job responsibilities. Please keep in mind that this list is not all inclusive and that you may be asked to perform other job tasks by your manager not listed below in the constant quest to provide “out of this world” customer service experience for our guests: Keep the COO one step ahead by managing their calendar and keeping their inbox organized and moving. Manage professional and personal scheduling from agendas and travel to email, calls, and everything in between, ensuring each day runs seamlessly. Jump in to support the CEO as needed with ad-hoc administrative tasks and special projects. Plan, prioritize, and orchestrate work so that deadlines are met, goals are achieved, and the Virgin standard of excellence shines through in every detail. Coordinate complex scheduling and calendar management, while keeping the flow of information clear, timely, and collaborative. Arrange travel with flair by booking flights, hotels, ground transportation, and meals. Support the COO with everyday needs like document prep, spreadsheets, and database upkeep - the little details that keep the big picture running. Partner on quarterly Board Meetings by helping prep materials, coordinate logistics, and ensure everything goes off without a hitch. Handle all materials with the highest level of confidentiality and professionalism. Keep our teams connected by organizing internal communications, events, and offsites that bring the Virgin spirit to life. Anticipate needs before they arise and bring people and resources together to keep our COO supported and steps ahead. Take and distribute meeting minutes with accuracy and speed and ensuring follow-ups never fall through the cracks. Prepare expense reports and help manage budgets like a pro. Jump in on special projects as needed. What qualities are we looking for? You’ve got skills? If you can perform the following, then you have come to the right place Analyze and interpret established policies. Make business decisions based on production reports and similar facts as well as on your own experience and personal opinions. Plan and organize multiple tasks. Change activities frequently and cope with interruptions. Speak and write clearly in English Accept full responsibility for managing an activity. Must have strong Excel skills along with excellent typing skills- 50 words per minute minimum Background must-have: Current, legal and unrestricted ability to work in the United States Minimum 3 years of previous administrative experience supporting a C-Suite executive Bachelor’s Degree is preferred Proficient in MS Outlook, Outlook Calendar, Word, Excel and PowerPoint
